Office/Executive Assistant

Colorado Engineering Inc. is a rapidly growing company searching for a highly motivated, organized and detail-orientated individual. The Office/Executive Assistant will be responsible for all aspects of bookkeeping, office, and executive support for this small but rapidly growing company. This full-time position will include various types of financial data entry using QuickBooks and requires both an attention to detail and an eye for the big picture. Must have strong skills in Office and bookkeeping with a minimum two years’ experience using QuickBooks, Word, Excel and Outlook.

Specific Job Duties

  • Assist CEO and VP(s) with day-to-day duties.
  • Enter client data into appropriate accounting software as directed.
  • Reconcile accounts with financial institution documents.
  • Assist in compiling tax and payroll documents monthly, quarterly and annually as directed.
  • Compile reporting and necessary support documents for all audits.
  • Review, post, attach scans, and pay bills/Accounts Payable.
  • Review, post, attach scans for credit card and checking account receipts.
  • Prepare estimates, invoices and receive payments.
  • Perform filing and copying. Distribute in-coming mail in a timely and accurate manner. Prepare correspondence as needed.
  • Complete special projects as needed.
  • Support Shipping and Receiving.
  • Support Purchasing and inventory management.
  • Support front desk operations with incoming telephone calls using a clear and pleasant voice.
  • Provide quality and customer-centered service.

Desired Skills and Experience

  • Two years bookkeeping experience.
  • Two – four years Administrative/Office Management experience is required.
  • Excellent Microsoft Word and Excel skills.
  • Excellent organizational and customer service skills.
  • Proficient in QuickBooks: 2 years’ experience required.
  • Attention to detail and consistency in work.
  • Ability to embrace and quickly adapt to change in a fast-paced environment.


  • Experience in similar office roles required.
  • College degree preferred but not required.
  • Excellent customer service skills.
  • Solid verbal and written communication skills.
  • Professional appearance. Positive attitude.
  • Willing and eager to take direction.
  • Working knowledge of multi-line telephone, copier and scanner.
  • Basic computer skills including email and proficiency in Microsoft Office Suite.
  • Desire to be a team player.
  • Being willing and able to work with others to complete assigned tasks.
  • Resourcefulness and proactivity when issues arise.
  • Being a self-starter and helping with improvements throughout the company.

Physical Demands

  • Remain in a stationary position for most of daily shift and move to access other areas of the office.
  • Lift a minimum of 10 pounds and push/pull a minimum of 20 pounds.
  • Hours are 8:00 am – 5:00 pm Monday – Friday.
